Many people start using ChatGPT and quickly notice the same thing: the answers are helpful, but they don’t always sound like them....and it often sounds generic.
The good news is that you can personalize how ChatGPT responds to you—even on the free version. With a few simple steps, you can guide the tool to match your tone, style, and the type of work you do.
This guide shows you exactly how to do that.
What “personalizing” ChatGPT means
Personalization does not mean changing the app’s design or paying for upgrades.
It means:
telling ChatGPT who you are
explaining what you use it for
guiding how you want responses written
When done correctly, ChatGPT becomes more consistent, clearer, and easier to work with.
Step 1: Open ChatGPT
Open the ChatGPT app on your phone or
Go to chat.openai.com in your web browser
Sign in to your free account
Step 2: Go to the Personalization section
Look at the bottom left corner of the screen
Tap or click the circle with your initials or profile photo
Select Personalization (This may also appear as Custom Instructions)
You will now see two main sections.
Step 3: Complete “What would you like ChatGPT to know about you?”
This section is about context.
Here, you should describe:
your role or occupation
the type of work or business you do
how you mainly use ChatGPT
Examples:
“I am a business owner who uses ChatGPT to draft emails, plan workshops, and create content.”
“I am an educator and use ChatGPT to explain concepts and prepare lesson materials.”
This helps ChatGPT understand your environment.
Step 4: Complete “How would you like ChatGPT to respond?”
This section controls tone and writing style.
Here is where you define:
how formal or informal responses should be
whether you prefer step-by-step explanations
whether you like bullet points, short answers, or examples
what to avoid (for example: jargon or long introductions)
This is the most important personalization step.
Personalization Tip: Teach ChatGPT Your Real Writing Style
Instead of guessing your tone, you can show ChatGPT how you naturally communicate.
Step 1: Identify three samples of your own writing or speech
Choose three examples created without AI, such as:
emails you wrote
short articles or posts
notes or explanations
If you don’t have written material:
record yourself speaking on your phone about:
who you are
your background
what you do
your views on a topic
transcribe the recording
You should end up with three short text samples.
Step 2: Open a new ChatGPT conversation
Click New Chat
Keep this separate from your regular work chats
Step 3: Upload or paste the three samples
Paste all three texts into the chat, then type:
“Analyze the writing samples above and describe my tone, writing style, and communication preferences in one short paragraph. The summary should sound natural and reflect how I normally communicate”
Step 4: Review and refine
Read the response carefully.
Ask yourself:
Does this sound like me?
Can I recognize my voice?
If needed, say:
“Refine this to better match my voice.”
“Remove anything that doesn’t feel accurate.”
“Simplify the summary.”
Step 5: Save your style in Personalization
Copy the final summary
Return to Personalization / Custom Instructions
Paste it into “How would you like ChatGPT to respond?”
Click Save
Your tone and style are now set.
Step 5: Use ChatGPT as normal
From this point forward:
ChatGPT will respond using your preferences
You do not need to repeat this information
You can update it at any time
If a response still feels off, simply say:
“Make this shorter.”
“Use a more conversational tone.”
“Explain this step-by-step.”
That feedback improves results instantly.
